Effective date: May 2026. This policy describes how Punam Oil Depo (our edible-oil trading and distribution depot in Palitana, Gujarat) handles personal information when you use this website or contact us about groundnut, palm, soyabean, and sunflower oils.

Who is responsible for your data

Punam Oil Depo is the business responsible for the personal information described here. We operate this site to share product information, help you verify batch numbers on your packs, and receive enquiries about pricing, stock, depot pickup, and bulk orders. We are not a payment gateway or e-commerce checkout — orders and payments are arranged directly with our depot staff.

Information we collect

Contact form enquiries. When you use the contact form, we collect the details you enter: your full name and email address (required), your phone number and product interest (optional), and your message (for example quantities, pickup or delivery preferences, or questions about a specific oil). Submissions are saved in our depot enquiry system so authorised staff can read, respond to, and track the status of your request (pending, completed, or marked as spam if abusive).

Phone, WhatsApp, and in-person contact. If you call our Palitana depot, message us on WhatsApp, or visit in person, we may record your name, number, and the substance of your conversation in the same way we handle written enquiries — solely to answer your question or fulfil an order you have asked us to process.

Factory locator (batch lookup). When you search a batch number on the factory locator, you only submit the batch code printed on your pack. We do not ask for your name or contact details for that lookup. To prevent abuse of the lookup tool, we apply short-term rate limits using a one-way hash of your network address (not your raw IP in enquiry records). That technical data is not linked to your identity or to contact-form submissions.

Technical data when you browse. Like most websites, our server may receive standard connection information (such as browser type, pages requested, and approximate timing) in server logs for security and troubleshooting. We do not use advertising pixels, social trackers, or behavioural profiling tools on this site.

Session cookie. To protect forms from forgery, the site sets a short-lived session cookie while you browse. It is used only for security (for example validating contact-form submissions) and is not used to track you across other websites.

Fonts. We load the Inter typeface from Google Fonts so pages display consistently. When your browser requests those font files, Google’s servers may receive your IP address and basic request metadata under their own policies. We do not receive that data from Google.

What we do not collect through this website. We do not collect payment card numbers, UPI or bank credentials, government ID numbers, health data, or precise location beyond what you choose to write in a message. We do not require an account to browse products, cooking tips, or batch information.

How we use your information

We use contact details and messages only for legitimate depot business purposes: replying to your enquiry, quoting prices and pack sizes, confirming stock and pickup times, arranging delivery where offered, and following up by phone or WhatsApp when you have asked us to call back.

Optional product interest on the form helps us route your question to the right oil range (for example filtered groundnut vs refined palm) — not for automated marketing lists or sale of your data to advertisers.

We may mark enquiries as spam or delete abusive submissions. Operational logs (for example “enquiry saved” with an email address) are used only for staff diagnostics, not for public display.

Batch traceability and factory data

Batch lookup results show the registered producing facility, FSSAI licence reference, and related certifications stored in our database for that production run. The search does not create a profile of you, store your batch searches against your name, or require login. If a batch number is missing or outdated, contact us and we will verify against our records manually.

Data sharing and third parties

We do not sell, rent, or trade your personal information. Access within Punam Oil Depo is limited to staff who need it to handle enquiries and orders.

We use hosting and infrastructure providers to run this website; they process data on our instructions to keep the site available and secure. Font files are requested by your browser directly from Google Fonts as described above.

If your enquiry concerns oil produced at a partner manufacturing unit and you agree at the time of enquiry, we may share your contact details with that unit only so they can answer a technical or supply question — never for their unrelated marketing.

Data retention

Enquiry records are kept while your request is active and for a reasonable period afterward so we can honour follow-ups, resolve disputes, or demonstrate how we handled a commercial conversation. If you have not placed an order and no further contact is needed, we delete or anonymise old enquiries when they are no longer required for depot operations.

Rate-limit files for batch lookup are stored by calendar day and are not retained as a long-term log of visitors. Server log files are rotated and not kept indefinitely.

Data security

Contact submissions are stored in our secure depot database and admin area, reachable only by authenticated Punam Oil Depo staff. Forms use CSRF protection and a hidden honeypot field to reduce automated spam. We apply sensible access controls on our server; no online system is perfectly secure, and we will notify you promptly if we become aware of a breach that affects your personal data.

Your rights

Under applicable Indian law, including the Digital Personal Data Protection Act, 2023 where it applies to our processing, you may request access to personal data we hold about you, correction of inaccurate details, erasure when we no longer need the data, or withdrawal of consent where processing is consent-based.

To exercise these rights, contact us via the contact page, phone, or WhatsApp. We will respond within a reasonable time and may need to confirm your identity before changing or deleting records tied to an enquiry.

Children

This website and our enquiry channels are intended for adults making business or household purchasing decisions. We do not knowingly collect personal data from children under 18. If you believe a child has submitted information to us, contact us and we will delete it.

Updates to this policy

We may update this policy when our depot processes, product range, website features, or legal obligations change. The current version will always be published on this page with an updated effective date. Continued use of the site after changes means you accept the revised policy for new interactions from that date forward.
